Privacy policy

TRDZNexus is software that schools, colleges and academies use to keep their records. This page explains what information is kept, why, who can see it and how it is protected. It applies to everyone who uses TRDZNexus: administrators, principals, teachers, staff, students and their families.

Who is responsible for your information

Each institution decides what it records about its students, families and staff, and is responsible for that information. TRDZNexus stores and protects it on the institution's behalf and uses it only to provide the service. If you have a question about your own or your child's records, contact the school first.

What is kept

  • Students: name, admission number, date of birth, photo, class and section, attendance, marks and results, fee vouchers and payments, certificates issued, and documents the school uploads.
  • Parents and guardians: name, mobile number, email and address, used to contact them about their child.
  • Teachers and staff: name, contact details, job, attendance, salary and payslips.
  • Accounts: email or username, mobile number, a one-way hash of the password or PIN (never the password itself), and sign-in times.
  • Security records: which account did what and when, with the device's network address, to protect accounts and investigate problems.

Who can see it

  • Principals see their own institution's records only. One school can never see another school's records; the database itself enforces this.
  • Teachers see only the classes and subjects they teach.
  • Students and families see only their own record.
  • The TRDZNexus platform administrator can see institutions' records to provide support and billing, and every such action is recorded.
  • Nobody, including administrators, can see anyone's password.

Information is never sold and is not used for advertising.

How it is protected

  • Passwords and PINs are stored only as one-way hashes, and sign-in is limited after repeated wrong attempts.
  • Principals and administrators can use two-step sign-in with a code from their phone.
  • Pages are served over an encrypted connection, and an audit log records every change.
  • The database is backed up every day.

How long it is kept

School records such as admissions, results and certificates are kept for as long as the institution uses TRDZNexus, because schools need them for future certificates and verification. An institution can download all of its records at any time and ask for them to be removed when it stops using the service.

Your choices

You can ask your school to correct wrong details, or to show you what it holds about you or your child. Families give their consent to this policy when a child is admitted. You can change your own password or PIN at any time from your account.
